Empowering recruitment efficiency through smart integrations

At XQTING, our mission is clear: to create bespoke software and powerful integrations that drive operational efficiency for our clients. Here’s how we delivered that promise for Jobz, a leading Belgian recruitment agency.

Their challenge

Jobz operates in sectors such as engineering, construction, IT, and manufacturing, connecting top-tier technical talent with employers. However, their team faced key challenges:
  • Inefficient call routing leading to delays in communication.
  • Disjointed WhatsApp conversations scattered across employees' smartphones, causing gaps in visibility and knowledge sharing.

Jobz uses Bullhorn, a cloud-based software platform developed specifically for recruitment and staffing agencies. It provides an Applicant Tracking System (ATS) and Customer Relationship Management (CRM) functionalities to streamline the recruitment process and make it more efficient. It thus contains all information about the (potential) candidates and the designated responsible employee (owner) within Jobz.

In short: Jobz required a seamless, integrated solution to streamline communication, improve response times, and centralize data—all without compromising the quality and personal touch of their recruitment process.

Our solution

1. Automated call routing

We deployed an intelligent solution combining our EasyConnect platform with the XQi Engine, custom-built to integrate with Jobz’s existing Bullhorn system.
  • Incoming calls are instantly routed to the correct point of contact based on the caller’s phone number, ensuring faster, more efficient communication.
  • A dynamic pop-up provides the employee with key details on the candidate as soon as the phone rings, reducing the time spent searching for information and boosting response rates.

2. Centralized WhatsApp communication

With many young candidates preferring WhatsApp, Jobz needed to streamline this communication channel. Our XQu Messaging solution offered just that.
  • We implemented a centralized business WhatsApp number that integrates directly into Bullhorn, making all candidate conversations accessible across the organization.
  • Employees can now view and respond to messages via a user-friendly web interface, with all communications automatically logged into the candidate’s profile. This ensures seamless collaboration and complete visibility for the entire team.
  • Documents shared via WhatsApp are also stored within Bullhorn, ensuring that nothing is lost in the communication chain.

Results

Thanks to our custom-built solutions, Jobz has significantly reduced inefficiencies in its communication processes. With automatic call routing and centralized WhatsApp messaging, the team can now focus on delivering even higher-quality recruitment services, without worrying about missed connections or data gaps.
